CamUniApp privacy policy
1. Introduction
This Privacy Policy explains how the University of Cambridge collects, uses and protects your personal information when you use CamUniApp. CamUniApp is the official mobile application for the University of Cambridge Sport Service, providing access to memberships, bookings, activities, exercise content, communications and facility access services. CamUniApp is powered by Innovatise (MyFitApp) and integrates with the University's Gladstone leisure management system. Personal information displayed, created or updated through the app is processed on behalf of the University of Cambridge to provide membership, booking and facility access services. This Privacy Policy applies specifically to CamUniApp and should be read alongside the University's wider Privacy Policy and Data Protection information.

3. How CamUniApp Works
CamUniApp is powered by Innovatise (MyFitApp) and connects securely to the University's Gladstone leisure management system through an Application Programming Interface (API).
Gladstone is the University's primary system for managing memberships, accounts and bookings. Information displayed within CamUniApp is retrieved from Gladstone and actions carried out within the app, such as making a booking, are processed directly within the Gladstone system.
Users authenticate using the email address and password associated with their Gladstone account.
4. Information We Process
Depending on how you use CamUniApp, we may process:
• Email address
• Membership ID number
• Membership information
• Current and future booking information
• Authentication and login information
• Notification preferences
• Device information required for app functionality
• Information submitted as part of account deletion requests
Depending on the functionality used, CamUniApp may also process information relating to sports facility bookings, fitness class bookings and user interactions with app features. This information is processed solely to provide the functionality requested by the user.
We process only the information necessary to provide app functionality and associated services.
5. How We Use Your Information
We use personal information to:
• Provide access to CamUniApp services
• Authenticate users
• Display membership information
• Display current and future bookings
• Allow users to make and cancel bookings
• Provide facility access functionality
• Send notifications and service communications
• Provide customer support
• Improve app functionality and user experience
• Meet legal and regulatory obligations
6. Memberships, Bookings and Payments
Memberships
Users may purchase memberships through Gladstone Go Join, which is accessible from within CamUniApp.
Bookings
CamUniApp allows users to book and cancel eligible activities, fitness classes and sports facilities. Bookings made through the app are created directly within the University's Gladstone system.
Payments
Where users choose to make a payment through CamUniApp, the application launches the Gladstone payment portal.
Payment card information is processed through secure payment systems and is not stored by CamUniApp.
7. Facility Access
CamUniApp may be used to access certain University Sport facilities using supported access technologies, including NFC and QR-based access methods.
Access events may be recorded within the University's systems for operational, security and audit purposes.
8. Health and Fitness Integrations
CamUniApp supports optional integration with Apple Health and Google Fit.
Where users choose to enable these integrations, selected activity information may be shared with the application.
Health and fitness data is only accessed where a user has explicitly granted permission through Apple Health or Google Fit. The University of Cambridge Sport Service does not access this information unless the user chooses to enable the integration.
Participation is entirely optional and users may disable these integrations at any time through their device settings.
The University of Cambridge Sport Service does not currently use this functionality to administer activity challenges, competitions or rewards programmes.
9. Notifications and Communications
CamUniApp may send:
• Booking confirmations
• Booking reminders
• Booking cancellations
• Membership updates
• Service updates
• Operational notifications
• Other communications relevant to a user's membership or activities
Users can manage notification preferences through their device settings where supported.
10. Usage Analytics
The University of Cambridge Sport Service receives aggregated and anonymised usage information relating to CamUniApp. This may include:
• App users
• App usage ("app hits")
• Feature and module usage ("module hits")
• Monthly active users
This information is used to understand app usage, monitor performance and improve services.
Analytics information is reviewed in aggregate and is not intended to identify individual users.
11. Information We Do Not Currently Use
CamUniApp does not currently use:
• GPS or location tracking services
• Location-based marketing
• Member photographs within the app
Should these features be introduced in future, this Privacy Policy will be updated accordingly.
12. Sharing Information
Personal information may be shared with trusted service providers who support the operation of CamUniApp and related services.
These providers currently include:
• Gladstone Software
• Innovatise (MyFitApp)
• Payment processing providers
• IT hosting and support providers
All providers are required to protect personal information and process it in accordance with applicable data protection legislation and contractual requirements.
The University of Cambridge does not sell personal information to third parties.
13. Security
The University of Cambridge takes appropriate technical and organisational measures to protect personal information against:
• Unauthorised access
• Loss
• Misuse
• Alteration
• Disclosure Access to personal information is restricted to authorised personnel and approved service providers who require access to perform their duties.
14. Account Deletion Requests
CamUniApp provides users with the ability to submit an account deletion request directly from within the application.
When a request is submitted, it is forwarded to the University of Cambridge Sport Service for review and processing.
Submission of an account deletion request does not automatically result in the deletion of all personal information. The University may be required to retain certain information for legal, financial, contractual, operational or regulatory purposes.
Users will be notified by email once their request has been processed.
15. Data Retention
Personal information is retained only for as long as necessary to:
• Deliver services
• Maintain customer records
• Meet legal and regulatory requirements
• Resolve disputes
• Enforce contractual obligations
Retention periods are determined in accordance with University policies and applicable legislation.
16. Your Rights
Under UK data protection legislation, you may have the right to:
• Access your personal information
• Correct inaccurate information
• Request deletion of personal information
• Restrict processing

• Withdraw consent where processing relies on consent
